Keeping track of all the players in a projectand how they move around like chess piecesis precisely why the Organizational Breakdown Structure (OBS) is a widely used tool in CA PPM.

The OBS captures a projects organization, typically starting at the top of the hierarchy with the project sponsor and key stakeholders. When presenting the OBS, consider the organization or group requesting the project and their sponsorship and authority levels. The OBSs hierarchical structure allows aggregation or rollup of project information to higher levels.

Unlike chess, there are no fixed rules in an organization: change happens all the time,  and organizational change can be difficult and time-consuming to track. Knowing this, we have to ask ourselves:

  • Do we have the proper resources to make these changes?
  • Who is responsible for making the changes?
  • How much time does it take?

But managing your OBS doesnt have to be a losing game. The OBS Adapter PWP makes the OBS even more accurateand up to dateand usefulby automating the process of loading OBS data from external systems into CA PPM. Not only thatit also automates synchronization of OBS structures in multiple systems, and synchronization can be on a scheduled or ad hoc basis.

The adapter uses OBS attributes and values extracted or loaded from a customers information management systems. Extracted files are obtained through database or web services queries, or directly, as flat files.

And theres more! Defined, user-configurable scripts automate the process of normalizing data and populating the resulting values into staging tables. Staging tables map the source attributes to the target fields in CA PPM. Attributes and fields commonly used include:

  • OBS Code
  • Parent OBS Code
  • OBS Name

In addition, three portlets are configured to monitor and diagnose errors during operation:

  • Activity Tracker
  • Processed Transactions
  • Error Logs

You can learn more here, and a list of technical prerequisites for this PWP is available at CA Support online (log in required). This is a central repository that will help you identify compatibility of CA Technologies products with operating systems, other third-party software products, and certification standards and regulations.

Here are a couple of questions Im frequently asked:

Is it compatible with and supported in SaaS environments?

Yes, it is. In fact, all PWP global delivery components are SaaS compatible and supported.

Can I download it from support.ca.com?

If you spend a lot of valuable time manually creating and updating ten or more resources in Excel spreadsheets, youre probably wondering if there isnt a better way to spend your time. After all, you could use that time to get other action items checked off your list.

And with the manual process, I bet you have another nagging worry: Do my updated spreadsheets actually reflect my resources accuratelyhow do I know that the spreadsheets capture all organizational changes?

The simple answer is, you dont.

Whats a resource administrator to do? The simple answer is, the CA PPM Resource Adapter PWP (packaged work product) automates user provisioning and resource capacity maintenance, saving time and money. And it can also save your sanity: The automated bulk upload of user and resource data from an HR system such as SAP, PeopleSoft or WorkDay helps to keep resource data in CA PPM in sync with whatever HR system your organization uses.

Its really as simple as that. Deploy the CA PPM Resource Adaptor PWP today! But before you do, I will answer what are likely to be your top three questions:

Is it compatible with and supported in SaaS environments?

Yes, it is. In fact, all PWP global delivery components are SaaS compatible and supported.

How user friendly is it?

There are only so many hours in a day, and few people understand that better than project managers. Likewise, few project managers would choose to spend the few precious hours they have in mind-numbingly repetitive tasks like manually creating and updating projects. Knowing when, and how, to automate can make the difference between hours spent on project execution that can transform your organization and, well, just hours spent.

There is a fast and easy way to automate project creation and project updates in CA PPMthe Project Adapter. Among other things, this packaged work product (PWP) imports projects from ERP systems into CA PPM and continuously updates the project list.

These are the most common questions I am asked about the CA PPM Project Adapter:

Is it compatible with and supported in SaaS environments?

Yes, it is. In fact, all PWP global delivery components are both on-premise and SaaS-compatible and supported.

In a nutshell, what does the Project Adapter automate?

  1. Creation and updates of projects and project hierarchies
  2. Creation and updates of project team allocations
  3. Creation and updates of project tasks

What does the CA PPM Project Adapter do, and what are the benefits?

The project adapter automatically creates new projects and updates existing projects with changes. Because it automates creation and updates of projects and project hierarchies, team allocations, and project tasks, project managers can focus on project execution immediatelyso your projects can succeed more quickly. The tool makes it easier to prepare plans as management teams agree on and confirm projects for a new fiscal year. You can also use the tool to convert project ideas into a project investment workflow.

How user-friendly is it?

It’s very user friendly. Automation reduces the number of technical glitches compared to manual processes, so you have fewer technical challenges.
