Tuesday Tip: Cost Plans Grouped by Role and Location OBS Unit -OR- Role and Department OBS Unit

If you are interested in computing 'Planning' cost values grouped by Roles based on either a Location OBS Unit or a Department OBS Unit, it can be accomplished through the Project Team Member Properties.

Roles can have financial properties for Resource Classification and Transaction Classification, but does not have fields for Location OBS or Department OBS units because Roles are not allowed to book actual financial transactions.  Therefore, for 'planning' purposes, you can still compute the planned costs based on an OBS Unit, and when actual transactions are booked, if the grouping combination is the same as the 'planned' grouping, you will see the actual costs on the same row.  If the actual transaction does not have the same grouping combination of Role and OBS unit, the 'actual' data will appear on a different row in the cost plan.

 

In a previous article you learned about the Project 'Staff OBS Unit' field.  This field can be used to identify a Financial OBS Unit on Roles where there is no named resource.

 

Steps to use Location OBS Unit:

  1. Create a 'Role-Location' Rate Matrix that has the 'Role' and 'Location' columns with different rates
  2. Create a Project that uses this Role-Location Matrix
  3. Configure the Project, Team List View to include the 'Staff OBS Unit' field
  4. Add a few Roles to the Project Team
  5. You can add a Role to the team more than once if desired and you will have more than one row for a specific Role (ie. Architect, Architect (2), Architect (3))
  6. After adding the Roles, use in-line editing to pick a 'Location OBS Unit' in the 'Staff OBS Unit' field
  7. Create a new cost plan using 'New From Investment Team' , Group By Role, Location

 

Steps to use Department OBS Unit:

  1. Create a 'Role-Department' Rate Matrix that has the 'Role' and 'Department' columns with different rates
  2. Create a Project that uses this Role-Department Matrix
  3. Configure the Project, Team List View to include the 'Staff OBS Unit' field
  4. Add a few Roles to the Project Team
  5. You can add a Role to the team more than once if desired and you will have more than one row for a specific Role (ie. Architect, Architect (2), Architect (3))
  6. After adding the Roles, use in-line editing to pick a 'Department OBS Unit' in the 'Staff OBS Unit' field
  7. Create a new cost plan using 'New From Investment Team' , Group By Role, Department

 

Experiment with booking 'actual' transactions that have matching grouping data values and non-matching grouping data values to see how the 'actual' data from WIP appears on the Cost plans.
