Timesheet Approvals

    Hi,

    We are running Clarity PPM 13.2 (old version), and I am new to this product.

    My question is, we currently have one person who has been setup in Clarity as Timesheet approver, and I setup another user identical to current user, but he cannot see any timesheets to approve.

    The original user has the following groups assigned:

    Admin Clarity, Basic Group Users, OS Approve ERPP, and Portlett

    Primary Role: Coordinator

    I have made the second person exactly same as this person, but he cannot see the timesheets ready to be approved, like the original user.

    I can see there is the Proxy option, but I am not sure if this will enable both user's to be able to see timesheet approvals at the same time?

    I just want to have more then one person to be able to approve timesheets, please advise what I am doing wrong, and what to change?

    Hi GCCC,

     

    Please check if the person has the following global access rights?  It maybe granted by any groups.

     

    Timesheets - Navigate

    Allows user to access the timesheets list page. The user will only be able to see timesheets the user has edit or approve timesheets rights over.

     

    Timesheets - Approve All

    Allows user to approve all submitted timesheets in the system.

    Thank you for your reply.

    Where are these settings, is under Administration?

    Timesheets - Navigate

    Allows user to access the timesheets list page. The user will only be able to see timesheets the user has edit or approve timesheets rights over.

     

    Timesheets - Approve All

    Allows user to approve all submitted timesheets in the system.

    As Soichi points out it is a question of the user rights and it maybe that the group memberships do not give the rights if the groups do not have them. That is likely if you have only one person that can approve the timesheets.

    Go to Administration > Resources and look up the user you want to be the app rover.

    Look at the user's Global rights. If the user does not have those two rights add them.

    The next time the user logs in he or she should be able to view all the timesheets and to approve the ones that need to be approved.

    Hi Sochi,

    I have amended user's profile to those settings, and he can only see 8 contractor timesheets, see comment from user:

     

    Hamish has advised that he only received approx. 8 contractors timesheets for approval this week.

     

    Can I please ask for this to be reviewed again ASAP as we currently have 50 contractors needing approvals.

    Hi Ahmet,

     

    I think that user may have "Resource - Approve Time" as OBS Unit Access Rights.

    So, user is able to view timesheets for resources who are member of that OBS Unit.

    If you grant "Timesheets - Approve All" as Global Access Right, he will be able to approve all resource's timesheets.

    Hi Soichi,

    Thank you again for your valuable information.

    I will get user to test on Thursday, and will let you know.

    Under OBS Unit, he doesn't have any groups.

    The rights are OK. It must be something else.

    Do you use partitions?

    What resources can the user see in the Resource list - should see all?

    What you see is action items, not timesheets.

    You need to find out how the user is getting the action assigned to approved timesheets. That could be a process. In addition to getting assigned the action item the user still needs the rights in order to see the timesheets and to approve them (to see the approve button).

    With the approve right you see the approve button on the left

    Please check if you have the rights to see these.

    Thank you for all the information.

    How does the person get or see Action Items. As this person is not seeing any Action Items assigned?

    Does somebody need to assign these?

    You need to find out how the user is getting the action assigned to approved timesheets. That could be a process.

    See if there is an active timesheets approval process. If there is, see if that actions the approval to somebody.

    Research the old actions to see how the previous person got the notifications for approving the timesheets.

    See if he or she still gets them.

    Report your progress so community members may help you if you get to dead end.

    Dear All,

    I would like to thank each and every one of you, for the valuable help that you have given me.

    Very much appreciated.

    It turns out that this is due to a Process issue running. Because we have nobody here that is experienced enough regarding Process, the client has decided to run with the Proxy option for now.

    Unless the client decides to upgrade this version of Clarity, and until then they will have to use Proxy option.

    If you are using the OOTB Conditional Automatic Approval process or one derived from it, you could check the step Approval Action Item

    Open the action Approval Action Item

    See if the assignee is the Resource Manager.

    If it is then you need the make the new user the resource manager of the resources whose timesheets he or she is expected to approve, instead of the old user

    On the other hand even without looking at any process you could see if the old approver is  the resource manager of the resources whose timesheets do not get approved now. If that is the case then you could change the manager to be the new approver and see if that helps. If it does than you can switch the manager for all others as well.
