  • 1.  How can the team tab be expanded to show roles per person when person is assigned to multiple roles on a project

    I have a customer who regularly assigns people to multiple roles on a project .- For example, Homer fills the roles of Architect and Consultant on Project X and is charged at different rates for each. The team tab show Homer only once as an Architect. I can assign Homer to tasks as a Consultant  but the team tab shows Homer only once. That's fine for Allo Allo but the Customer is unhappy and wants to see Homer with as many roles as he is assigned to. Any ideas will be welcome/.

    Just a guess, have you tried creating a portlet for this, and place it on the dashboard tab to show the desired info ?

    As you've found, a resource can have only a single Project Team role as Clarity is designed, today, on the Team\Staff page.

     

    What are your customer's requirements?

    • Plan by role at Team Allocation level?
      • Probably not possible - yes, you can allocate a resource to more than one role on a project, and the resource will assume any tasks/work assigned to the roles, but the resource will end up with only one role on the Team/Staff page
    • Plan by role at Assignment level?
      • Expect this should work as assignments are task based and resource can have different task roles on same project
      • NJ's advise then to create a portlet for the dashboard tab, using Task Roles may suffice.
    • Project Roles & Responsibilities Chart/Workflow routing?
      • Can add resource lookup based fields to project properties page similar to Manager field (e.g. Vice-President, Quality Director, Plant Manager, etc.)
      • Such fields can be utilized to produce R&R charts (portlet and/or report) and can be used in Workflows for routing purposes.
    • Just trying to answer the question - who is performing what roles on the project?
      • NJ's advise then to create a portlet for the dashboard tab, using Task Roles may suffice.
    • Something else?

     

    If planning by multiple roles at Team Allocation level is required, it may be a good idea to submit an Idea - won't help you today, but best to get it in earlier rather than later.

    Our customer is an IT Services business and they often split roles between people. A good example is a technical architect  who doubles as implementation consultant on some smaller projects. The business bills the person at a different rates for each role. Our customer is pretty pedantic and sees the staff tab as being incomplete as it doesn't show both roles.

     

    We have convinced her that Clarity can assign the person  to a role at the task level which then sets the billing rate code correctly but the issue of assigning people to roles when populating the assignments from the project template is more difficult to address.

     

    I am inclined towards a person/role/task view on the dashboard built from a dynamic query but it would be so much nicer if the staff tab reflected multiple assignments.

    Thanks for the clarification knaph02.

     

    Feared that this might be the requirement and as is, Clarity wouldn't meet your needs.

     

    For sure, submit this as an improvement Idea.  Was worried that there might be a conflict with this idea and MSProject.  However, the Clarity Resource ID is sent to the Initials field in MSP and MSP doesn't seem to care whether the same resource appears more than once on the Resource Sheet.  However, as each resource is given its own MSP ID number when exported to MSP, I'm going to guess that MSP will treat the one, duplicated resource as two completely different resources when it comes to resource leveling/scheduling.

     

    So, it might still be a problem - yes, we may be able to enhance Clarity to show a resource more than once on the same project, with different roles for each appearance on the Team/Staff page, but we don't have any control of what MS does with MSP and having the leveling/scheduling fall apart should be a bigger problem than not having the resource show more than once on the Team Staff page.

     

    If you're using OWB or just the Clarity Gantt, then putting this idea into Clarity may push some more value into these schedulers - they'd could do something that MSP can't do.

     

    Submit the idea in the meantime - maybe it will become part of the future product.  In the meantime "....even MSP doesn't do this" might be part of the feedback to your customer, and a 'good enough' suggestion such as Navdeep's will suffice for now.
