    Regarding this change in patch 7:

     

    CLRT-80110: Jaspersoft: Remove empty user folders as part of Create and update Jasper Users

    I don't see an associated tech support article with this. What caused this decision/change?

     

    PATCH 7 changes to the user folder:

     

    Changes to the Create and Update Jaspersoft Users Job To improve performance, the Create and Update Jaspersoft Users job no longer creates the user-specific folders automatically under the Users folder in Jaspersoft. For example, the CA PPM administrator creates a resource in CA PPM and provides the resource Advanced Reporting access rights. The new resource does not automatically get a folder under the Users folder with the folder name matching the CA PPM resource ID. However, the Jaspersoft administrator can create user-specific folders under the Users folder in Jaspersoft. The administrator must also provide administrative rights to the resources for their user-specific folders so they can manage these folders. Ideally, only the specific Advanced Reporting user and the Jaspersoft administrator need access to the user-specific folders. After upgrade, the content of the user-specific folders remains intact.

     

    Also, the Full Sync option is modified to delete any empty user-specific folders under the Users folder that are created by earlier versions of CA PPM. The empty user-specific folders are deleted only if the folder names correspond to CA PPM resource IDs. The user-specific folders are not deleted if the Jaspersoft administrator follows any other naming convention.

     

     

    So what is the solution for users to be able to create views/reports that they only want for themselves? prior documentation said that is what the user folder is for.  Am I misunderstanding that?  [The Shared folder is for just that: sharing data].   If it is indeed to store views/reports in the user folder, then is CA asking the customers to create user folders and grant access for each Ad hoc report user (those who create views/reports).? That does not seem feasible when you have many users. If that is the solution, then is there a quick way to do that?

    This defect CLRT-80110 was created as we found there was a performance overhead for very large customers with lots of thousands of users. The action of creating the folders was also slowing down the Create and Update JS Users job significantly for those large datasets. In many cases the user folders were simply empty and not actually in use.

    This is how the decision was taken to actually remove the User folders creation by the job and by default and leave to the Administrator the task to create folders for the users that really need this feature.

    For the moment there is not really an automated solution for this. The admin will have to create a folder for each user who requests it and grant the rights only to this user if they need a personal folder. Otherwise a common public folder may also work, just ensure the amount of reports does not exceed a reasonable amount of pages as this may make it difficult to retrieve.

     

    I will also bring this up with PM and update you.

    Thanks Nika. We are trying to determine the "best practice" -- so just to clarify: the only way to allow users to create a View/Report in which they do not want to share with anyone (their view only), is for us to create the user folder(s)?

    Hi Lynn,

     

    Yes, this is correct.

     

    We also recommend as Best practice to create Team folders, which will be visible to all people part of the same team. This will avoid also work duplication, as people from the same team are likely to use the same data and may benefit from collaboration and report sharing.

     

    If you want to have a job to automate this please feel free to raise an idea here in Ideas section.
