  • 1.  Q: How do I audit portfolio investments within the Portfolio?

    Posted May 23, 2019 12:02 PM

Hello All, Hope I am not just being blind, maybe I just need to be reminded...

I want to be able to audit the individual investments within the portfolio. Meaning, when someone adds an investment or removes an investment from the portfolio. I can't seem to find where to add that to the audit list? Any help provided is welcomed.

    Thanks,

    Keri

    Hi Keri,

Checking the attributes of the Portfolio, and none of them appears to be useful for that purpose.

Checking in the old communities it seems there were a couple of ideas in the past asking for a possibility to do so:

    ***
Master Project, Program, Portfolio Contents History
    ---
    communities.ca.com/ideas/103044871
    ---
...easily review the history of the contents management updates of a Master Project, Program or Portfolio … 1) User wishes to review the history of content add/removes for a Portfolio …
    ****

    ***
    Audit Filter Definitions on Portfolios.
    ---
    communities.ca.com/ideas/105041296
...is the number one question when troubleshooting portfolio content issues … ability to add Filter Definitions to the Portfolio Object Audit Trail How would you like the product …
    ****

We can no longer access those ideas and its contents, but seems nothing was changed.
You might want to raise a new idea on that and see if that gets voted and considered for future releases.

    Cheers,
    Raúl

Master Project, Program, Portfolio Contents History

Idea created by Robert Ensinger on Jun 4, 2012
    Under review
    Score12

    Summary of Enhancement:
One may add or remove projects as sub projects from Master Projects or Programs. One may add or remove investments from a Porfolio via synchronization or manual addition/removal. Provide an interface into the history of such content managment activities (what, when, by who, etc).

    Problem to solve/automate:
Business Users have no abilitiy to easily review the history of the contents management updates of a Master Project, Program or Portfolio.

    Use case(s):
    1) User wishes to review the history of content add/removes for a Master Project.
    1) User wishes to review the history of content add/removes for a Program.
    1) User wishes to review the history of content add/removes for a Portfolio.

How you think the product works:
There is no out of the box ability to review the history of content additions/deletions from Master Projects, Programs and Portfolios.

How would you like the product to work:
A contents 'Audit Trail' of some kind would be nice. Not necessarily as an admin feature, but something friendly and more business user focused.

What is the business impact to your implementation:
    - Happier Business Users that can see the history of the sub content managment of investments.

Look for Investment Parents object under Admin\Objects.  Here, you can turn on hierarchy attributes for Audit Trail.

Results will show in the Admin\Audit trail view.  This view is not great, but it's a start.  Recommend running an SQL trace on this view and then building your own portlet - can add any additional columns, filters that would make it better to use, and then post on App side of Clarity so that Admin access rights aren't necessary to use it.  Will also gain ability to export to Excel.

We haven't built this portlet, yet, for ourselves.  Just turned this audit on a couple months ago to identify who has been making incorrect child project removals from parents.  Found one user.  And deletions of this type haven't recurred since we started watching - maybe measuring produced improvement?
