  • 1.  Active Action Items

    We have a change management workflow process which sends out action items for approvals or rejections. It goes through the change approver, manager and operations manager. Each of the participant would either approve or reject which will determine the next step. We have a challenge with this process

    Scenario -
    If the approver is not available on the given day for approval (ans has not set proxy ) and the initiator wants to reassign this action item to a different person.

    Problem -
    How do we reassign active action items from one person to other using a background process?

    OK - I'll take a stab at it. Have you tried setting an escalation point in the process? Say, perhaps allow 1 day for a response and if not received then advance the process to another resource?

    For the person that's away, they can set up a Proxy ("Account Settings", "Proxy"), specify a resource and start/end effective date that the proxy resource should receive notifications/workflow actions/etc. in their absence.

    Alternatively, you can change the approval workflow to send the action to a Group instead of a name resource, and that way everyone in that group will receive the Approval action item, and you can then dictate in the workflow if you want "first in" approval, or "all" to approve, etc.
