  • 1.  Applying different Availability for resources for different time periods

    Hello all!

    When a person is employed full-time we set the Availability to 7,75 (equivalent to 100%). Based on our standard calendar, which is applied for all employees and with standard shifts, we see that the total availability is 1870 hours (= 1 FTE in year 2012).

    We also have a number of employees working part-time and the part-time varies over the year.

    Example:
    Person A is employed full-time (100%) but will be working only 60% in Jan-Mar and 80% in Apr-Jun and then back to 100% from july 1.
    When, in December, we are planning for how to use the available hours for Person A for the upcoming year, it seems that the available hours at that time are 1870 hours (100%) for the entire year (since Resource Availability at that time is set to 7,75) whereas the correct availability is approx 1580 hours.

    Is there a way to plan with correct availability for employees where Availability varies over time?

    Will it be possible to set Availability in the same manner as Allocation Segments in Projects, i.e. defining the Availability for different time periods?

    Any ideas?

    The only painful way of doing that I am aware of is setting the working hours on the resource calendar on daily basis.
    Some organizations have different hours summer and winter. That is a nightmare if you want to pursue correct availability so that you resource capacity is right.

    As this is an specific requirement so if you can create an calendar other than your standard calendar (considering holidays) where you need to the working days should be reduced monthly based on your requirement.

    i will take example as 20 Man days as standard working days for an month.

    jan-mar -->60% --> 14 man days as working days.
    Apr-jun--->80% -->16 Man days as working days
    july-dec - 100%-->20 man days

    Hope it is an 1 time effort.

    Then tag that calendar those specific resources.Then the Monthly availability will wary based on the calendar where as your resource availability will be 7.75.

    The drawback is that you also need to consider time sheets that they should input only on the working days as per the calendar month.Not an good idea but it will avoid more effort.

    Those are basically the same type of solutions.

    Creating a new calendar is good firstly because it is simple to go back to the standard again and secondly if there are more than one resource with the same wokring time.
    That also implies that you are in a jam when there are ten or more resources who have different availability. The effort start getting bigger than the benefit.


    The two ways you can adjust availablity are the daily working hours and the non working days. Bascially they accomplish the same, but the difference is that adjusting the hours you have the resource available on normal working days, but less.
    Adding non-working days may cause breaks in task schedules, though the finish dates should be the same with both.
